In the context of using Ice-Elf, only such data are processed that are necessary for the technical execution of the bot functions. This includes in particular function-related identifiers (such as Discord user IDs and guild IDs), configuration data, as well as access permissions provided via the Discord API.
Long-term storage of personal data (e.g., user ID) only takes place if this is functionally mandatory – and exclusively in encrypted form. As soon as this information is no longer required – for example, through deactivation of the function or removal of the bot from the respective guild – it will be deleted promptly in order to comply with the principle of data minimization.
The guild ID is functionally used to clearly assign configurations to a Discord guild. It is stored in encrypted form where this is advisable and technically necessary from a data protection perspective. A linkage with natural persons does not take place.
Furthermore, Ice-Elf only processes the information that is technically made available to it via the permissions granted by Discord guild administrators. Access to this data can be restricted or withdrawn at any time via Discord’s permission management.
The processing is always purpose-bound, limited to the necessary minimum, and in accordance with data protection principles.

There is no further use of the data for advertising purposes, user profiling, or external tracking. Processing takes place exclusively to the technically necessary extent and based on the rights provided by the user or administrator via Discord.
When using Ice-Elf within a Discord guild, the bot automatically processes certain technical data that are required for the provision of the respective function. These include, but are not limited to:
These data are either processed temporarily depending on the function or stored permanently if this is technically necessary. The storage is always purpose-bound, data-minimizing, and oriented towards the actual use of the respective function.
Personal data (e.g., Discord user ID) are only stored long-term if this is required for the function – and in this case exclusively in encrypted form.
Access to the dashboard takes place exclusively via the OAuth2 login of Discord. In the context of this login, Ice-Elf receives the basic data explicitly released by the user via Discord. This usually includes:
This information is used to enable access to the dashboard, to control the display of user-specific configurations, and to ensure that only authorized users can change guild settings.
Passwords are neither stored nor processed. Likewise, there is no access to private messages, friend lists, or content outside the authorized Discord API data.
Access to the dashboard is technically designed so that only Discord users with sufficient rights (at least administrator) can change the configuration of a guild. An automatic permission check takes place with each access.
There is no external transfer of the login data. Also, permanent storage of the information provided during the OAuth2 login only takes place if this is required for the functionality – and exclusively in encrypted form.
For the processing of paid premium functions, the payment service provider Stripe is used. The actual payment processing (e.g., credit card payment) is carried out entirely via Stripe. Ice-Elf itself does not store any payment data such as credit card information or bank details.
For the management of the premium membership, only technically necessary information is stored, which is required for the assignment of premium status and subscription.
Storage takes place only as long as it is required for technical implementation and accounting traceability. After the expiration or cancellation of a premium membership, these data are deleted.

Ice-Elf generally refrains from the systematic logging of personal data or logs such data in encrypted form. Should short-term logging occur in individual cases for technical reasons, no permanent storage or evaluation takes place.
Logging occurs exclusively for the purpose of technical stability and is limited to the necessary minimum. Guild IDs are, where possible, logged in pseudonymized or encrypted form. Guild specific settings configured via the dashboard may appear in logs in connection with checking the functionality of the bot. There is no transfer to third parties unless this is mandatory for error correction or legally required.
Questions or problems in connection with the use of Ice-Elf can be reported voluntarily via the official community Discord server. In doing so, the publicly visible Discord profile data (e.g., username, avatar, user ID) displayed in the course of the communication are automatically processed.
Storage of these data only takes place if it is required for the technical processing of a problem. There is no evaluation for other purposes and no transfer to third parties.
The use of community support is voluntary and takes place at the user’s own initiative. There is no legal entitlement to a response, processing, or problem resolution.
Users have the possibility to submit anonymous feedback via the web interface (dashboard). No personal data are stored in this process – in particular, there is no linkage with a Discord user ID, a Discord guild, or a Discord account. The feedback is stored in anonymized form in the database and used exclusively for the improvement of the bot and its functions. There is no evaluation for other purposes, profiling, or transfer to third parties.
We would like to point out that users should not transmit or store sensitive personal data (such as information regarding religion, health, sexual orientation, or political views) via free-text fields or other input options when using Ice-Elf. Ice-Elf does not systematically collect or process such data. Responsibility for any content that users independently enter and store lies solely with the respective user.
The provision of Ice-Elf takes place via a server in Germany (Netcup, Nuremberg). All bot functions, the web dashboard, and the associated backend logic run on this server.
The data are processed on the server. Further information on data processing can be found in Chapter 2. To protect the systems, a multi-layered security infrastructure is in use. This includes, among other things, firewalls, authentication mechanisms using API tokens, as well as system-side permission checks.
In the context of access protection, there may be short-term processing of IP addresses or other technical information. These are not permanently stored or evaluated in a personally identifiable manner.
Communication between the user and the server takes place exclusively via encrypted connections (HTTPS/TLS).
There is no transfer of data to third parties outside the deployed system infrastructure, unless this is technically mandatory or legally required.
